Returnable Tooling Solution Set To Save £50K P.A. For Train Maintenance Depot Operator – CS177

The Situation

The operator of a large train maintenance depot had identified a requirement for a managed returnable tooling solution. HAYLEY DEXIS | Rail currently have over fifty vending solutions in-place across numerous maintenance depots. The depot involved in this project encompasses over 150 staff and contractors requiring 24-hour access to calibrated tooling. One of the aims of the project was to mitigate the risks of both stock going missing and being used outside of their calibration dates.

The Solution

The projects team started by compiling a list of all the tooling items to be housed in the vending machines. HAYLEY DEXIS recommended two paired locker machines that would offer fifty-four unique locations to store tools such as impact guns, torque wrenches and multimeters. Profiles were created for each user category including engineers, technicians, and facilities staff. The software allows customers to control who has access to which items and lock certain items based on job function and authority level. Consulting with the customer, HAYLEY DEXIS set parameters for each item of tooling based on when they needed to be calibrated. Tools are now automatically locked to all users (except administrators) when they exceed the required calibration date.

Reminder notifications were also scheduled for on-site tooling specialists to remind them when calibration is due, and alerts were created for items that had been checked out of the machine for an extended period of time. The latter meant that whenever an item was out for longer than a shift period, an alert was sent to the user’s line manager to notify them the tool had not been returned.

The Result

The vending machines have enabled the customer to enjoy the many benefits of a fully managed returnable tooling solution. Reduced management costs (staff labour), more efficient use of floor space in a busy environment, improved calibration control and improved traceability are all significant benefits. Annual cost-savings are due to exceed £50,000, due to this vending solution delivering value to both the project and the depot overall. The customer has since requested two more machines for the depot, such has been the success of the project.
